Below are 15 templates that cover 80% of the client emails a freelancer sends. Each has been used in real client conversations, not made up for an article. Copy them, adapt them to your voice, save them in your email tool’s snippets or templates feature, and let them work for you.
How to save templates (quick note)
Before the templates themselves, store them where they load fastest:
- Gmail: Templates feature (Settings → Advanced → Templates on)
- Apple Mail: text snippets via Mac’s Text Replacement (Settings → Keyboard)
- Superhuman / Hey: built-in snippets
- Anywhere: Alfred, Raycast, or TextExpander work across all apps
Name templates predictably. “freelance-proposal-followup-day3” is better than “follow up.” Future-you will find them faster.
Template 1: The confirmation after a discovery call
Use when: immediately after a discovery call that went well.
Subject: Great chatting, recap + next step
Hi [Name],
Thanks for the call. Quick recap of what we covered:
- [Their problem / goal in 1 sentence]
- [Their timeline / budget if discussed]
- [Key constraint or risk we noted]
Next step: I’ll put together a proposal and send it by [specific date within 3 business days].

Template 2: The proposal send
Use when: sending a proposal.

Use when: day 7 after proposal, still no answer.

- Green light. Let’s schedule kickoff.
- Need more info. Happy to hop on a call.

Use when: contract just signed, onboarding time.

Template 15: The gentle decline / pass
Use when: a prospect or existing client asks for work you can’t or won’t take.
Subject: On [Project], honest thought
Hi [Name],
Appreciate you thinking of me for this. After considering, I don’t think I’m the right fit, [specific reason: outside my sweet spot / capacity issue / timeline doesn’t work].
I’d rather pass than do a mediocre job. Two colleagues who might be a better fit:

How to adapt these to your voice
The templates above are deliberately generic. Your version should:
- Shorten what you can. Remove any sentence that doesn’t earn its place.
- Match your vocabulary. If you’d never say “kickoff” in real life, swap for “start-up” or “get going.”
- Keep your standard sign-off. Not the “[Your name]” placeholder, your actual sign-off.
- Add 1–2 personal flourishes per template. Maybe a signature question you always ask, or a warm opener you use.
The templates should read as your natural voice in 3 months, not a corporate script.
Which to save first
If you don’t want to save all 15 at once, start with these 5 most-used:
- Template 2, proposal send (weekly at minimum)
- Template 4, close-or-release (weekly)
- Template 6, weekly status email (weekly × retainer clients)
- Template 10, overdue invoice reminder (monthly)
- Template 13, project handoff (whenever closing projects)
These five alone cover 70% of template-usable emails.
Templates evolve
Review templates quarterly. What’s working? What clients have stopped responding to? Tweak accordingly.
Some templates will get retired over time (you stop taking project work, so the kickoff template changes). Others stay for years. The discipline of maintaining your template library is itself a productivity practice.
