Seeing a finished quote makes the structure easier to understand than any description of it. The example below walks through a complete service quote for a web design project — with notes on the decisions in each section.
The project scenario
A freelance web designer quotes a 5-page marketing site for a professional services firm. The project came in through a referral. The client has a rough idea of what they need but hasn’t finalized all the content.
The designer has done similar projects before and estimates approximately 55–65 hours of work.

Notes on the decisions in this example
Why start with a scope paragraph, not a line items table?
The scope paragraph gives context before the client sees numbers. It confirms exactly what the project covers and, critically, what it doesn’t. The designer has listed specific exclusions — copywriting, photography, logo design, hosting — because these are the services clients most commonly assume are included.
Why are revision rounds listed as a line item with no cost?
Showing revisions as an explicit included item prevents the most common complaint: “I thought revisions were part of the price.” They are — it’s listed. If the client wants additional rounds beyond the included five, that’s a separate conversation.
Why is the expiry date 30 days from the quote date?
Standard validity period. Short enough to create urgency. Long enough that a client who needs internal approvals isn’t rushed. The designer can always extend it if asked — but having an expiry date prevents clients from accepting a quote months later at an outdated price.
The “to accept” instruction at the bottom of the quote makes the next step unambiguous. Clients who know how to proceed are more likely to proceed.
Why is the deposit 40%?
High enough to cover the designer’s time through the wireframe and design phases. Low enough not to be a barrier for the client. Deposit percentages typically range from 25–50% for freelance services. The right number depends on your cash flow needs and the client relationship.
After the quote is sent
The designer sends the quote with a short email:
“Hi James — attached is the quote for the Harrington Advisory Group website, based on our conversation last week. It’s valid until June 27. Let me know if you have any questions or want to schedule a quick call to go over it.”
She follows up four business days later if she hasn’t heard back. One follow-up is standard. A quoting tool like Waco tells her whether James has opened the quote — which determines whether her follow-up is about the document reaching him or about answering questions he might have.
