How business clients process quotes
Understanding how a business client handles your quote helps you format it correctly.
A small business owner may review and approve your quote themselves within 24 hours. A medium-sized business client may have their quote reviewed by a department head, then approved by a finance director, then processed by accounts payable. Each person in that chain looks at different things.
The department head checks whether the scope matches what was discussed. The finance director checks the total and payment terms. Accounts payable needs a proper invoice-ready format with clear billing details.
Your quote needs to satisfy all three readers. That means:
- A complete, self-explanatory scope summary (for the department head)
- Clear totals with explicit tax treatment (for finance)
- Full company details, quote number, and billing information (for accounts payable)

Key differences from an individual client quote
Purchase Order field. Many business clients require a PO number before they can process a payment. Adding a PO field to your template prevents delays when a client tells you mid-project that they need a PO attached to all invoices.
Business registration number. In some jurisdictions and industries, displaying your company registration number on business documents is required. In others, it simply signals professionalism to another business.
Tax treatment. State your tax status explicitly. “Tax not applicable — [reason]” or “VAT [rate] included — [amount]” both work. Never leave tax undefined on a business quote.
Formal signature block. Business clients may need a physical or digital signature from an authorized approver. Include a signature field even if you also offer email acceptance.
The Purchase Order requirement is the one thing that trips up freelancers quoting business clients for the first time. If your client works at a company with 50 or more employees, ask early: “Do you need a PO number on invoices?” Getting this information before the deposit invoice saves everyone a delay.
Sending the quote to a business client
Send the quote as a PDF and follow up within 48 hours with a brief email checking that the right people received it. In business contexts, your initial contact may need to forward the quote to someone else for approval—a quick check-in confirms it arrived and is in the right hands.
