Sending a proposal feels like the hard part. Following up—without sounding desperate or annoying—is where most freelancers struggle. These samples are built to be copied, lightly personalized, and sent with confidence.
Sample 1: After a proposal, no response yet
Subject: Re: [Project name]—a couple things
Hi [Name],
Wanted to follow up on the proposal from [date]. Two things:
- Happy to adjust the timeline or scope if something doesn’t fit your needs.
- I have [specific availability window] open and wanted to give you first shot before I fill it.
If it’s easier, I can set up a 15-minute call to walk through any questions.

Sample 2: After a meeting, awaiting decision
Subject: [Name]—next steps on [project]?
Hi [Name],
Really enjoyed our call on [date]. I’ve been thinking about [specific challenge they mentioned], and I think [brief insight or approach] could be the right move.
Do you have a sense of when you’ll be making a decision? Totally fine if the timeline has shifted—just want to plan accordingly on my end.
[Your name]
Timing matters more than phrasing. A follow-up sent while a prospect is actively viewing your proposal gets a reply rate far higher than the same email sent cold the next morning.
Sample 3: Re-engagement after 30+ days of silence
Subject: [Name]—still open to connecting?
Hi [Name],
It’s been a few weeks since we talked about [project]. I don’t want to assume the timing still works—things change.
If you’re still interested, I’d love to reconnect. If not, totally understand—just let me know either way so I can close this out.

Sample 4: After a referred intro
Subject: [Referrer name] suggested I follow up
Hi [Name],
[Referrer name] mentioned you might be looking for help with [specific thing]. I’ve worked with them on [brief result], and I thought it might be worth a quick conversation.
Do you have 20 minutes this week?

Personalizing these samples
The structure stays the same—what changes is the specific detail. Replace the brackets with:
- The actual project name, not “our project”
- A date, not “recently”
- Their specific challenge, not “your goals”
- A concrete result from past work, not “great results”
Specificity is what separates a reply-worthy email from one that gets deleted.
When to send each sample
- Sample 1: Day 3–5 after proposal delivery
- Sample 2: Day 2–3 after a discovery call
- Sample 3: Day 30–45 after a gone-cold conversation
- Sample 4: Within 48 hours of the referral introduction
Waco tracks when clients open your proposals, so you can layer timing intelligence on top of these samples—sending when the prospect is actively engaged rather than guessing.
