An Excel sales order tracker is a simple, free way to log every order you accept. Track status from quote to payment in one spreadsheet you control.

What a Basic Template Includes

A sales order tracker template needs seven core columns: Order Number (your unique ID), Client Name, Order Date, Service Description, Order Amount, Payment Terms, and Status. These seven fields give you enough visibility for most freelance businesses.

Add Date Accepted to show when the client said yes. Add Date Invoiced. Add Notes for custom requests, approval conditions, or follow-up reminders. This context matters when you revisit an order weeks later.

Format the template cleanly. Freeze the header row so it stays visible when you scroll. Use a clean font like Calibri or Arial in readable size. Leave blank rows between sections if you organize by client or month.

Populate Your First Orders

Start by listing five current orders. For each, write the order number (ORD-001, ORD-002, etc.), client name, the date they said yes, what they ordered, and the price. Under Status, write “Accepted” or “In Progress.”

Backfill older orders if you have them. This gives you historical context and fills your tracker with real data. You’ll see patterns: which clients reorder, which services are popular, which months are busy.

Once you have 5-10 orders, play with the template. Try sorting by Client. Filter to see only “Pending” orders. Delete a test row to make sure your formulas still work. This experimentation builds confidence.

Add Formulas for Automation

In a new column called “Days Pending,” add a formula: =TODAY()-D2 (where D is your Order Date). Copy down. This shows how many days each order has been open. Orders past 30 days stand out immediately.

In another column, create a Status Indicator. If Days Pending is over 30 and Status is “Pending,” color it red. In Excel, select the Days Pending column, go to Conditional Formatting, choose a color scale. Red for high numbers, green for low. Now overdue orders jump out.

At the bottom of your sheet, add a Summary section:

=COUNTA(A:A)-1 (total number of orders)

=COUNTIF(F:F,“Pending”) (how many are waiting)

=COUNTIF(F:F,“Invoiced”) (how many are invoiced)

=SUM(E:E) (total revenue)

Set Up Your Status Workflow

Define what each status means. “Pending” = client hasn’t confirmed yet. “Accepted” = client said yes, waiting for you to deliver. “In Progress” = you’re working on it. “Complete” = delivered. “Invoiced” = you sent the bill. “Paid” = payment cleared. “Cancelled” = deal fell through.

Pick 4-6 statuses, not 20. Too many and you’ll forget which one applies. Keep it simple.

When you add a new order, set Status to “Pending.” When the client says yes, change it to “Accepted.” When you start work, “In Progress.” When done, “Complete.” When you invoice, “Invoiced.” When paid, “Paid.” This workflow is clear and easy to follow.

Review Weekly, Update Monthly

Every Friday, scan the Status column. Any “Pending” orders over 7 days old need a follow-up call or email. Any “Invoiced” over 30 days old need a payment reminder. Block 15 minutes for these follow-ups.

Once per month, clean up old orders. Move “Paid” orders to an Archive sheet. This keeps your active tracker focused on open business. At year-end, you’ll have a full historical record in your Archive.

Grow Beyond the Spreadsheet
