How to Fill This In Without Overthinking It

Services section: Be uncomfortably specific. “Design support” is not a service. “Up to 8 hours of Figma revisions on existing brand assets, delivered within 3 business days of request” is a service. If you can’t count it or check it off, it’s not defined well enough.

Monthly fee: Set this at your hourly rate times the expected hours, then round up by 10–15% to account for admin, communication, and the occasional overrun. A retainer for 10 hours at $85/hour should be priced at $935–$1,000, not $850. You’re also providing availability and priority access, which has value beyond raw hours.

Unused hours policy: No-rollover is the cleanest option for most freelancers. Rollover creates accounting headaches and trains clients to bank hours and dump them on you at month end. Forfeiture feels harsh but is standard — it’s the same model gyms and subscription services use.

Cancellation clause: Thirty days is the industry norm. If you’re doing work that requires significant ramp-up time (research, strategy, deep technical work), push for 60 days. The notice period protects your cash flow while you fill the slot.

How Retainers Show Up in Your Invoicing

Once you have a signed agreement, invoicing becomes mechanical. Send your invoice on the first of each month for the flat retainer fee. No mid-month surprises, no rebuilding the invoice from scratch.

Track hours or deliverables throughout the month in a simple spreadsheet or time-tracking app. If your retainer covers 10 hours and you log 12.5, you have two choices: flag it with the client before going over, or absorb it this month and mention it when you discuss next month’s renewal. Either way, the agreement gives you the data to have that conversation without it feeling confrontational.

If the client wants work that consistently exceeds the retainer scope, that’s your signal to renegotiate. Pull up the tracking log, show the actual usage over the last 2–3 months, and propose a new tier. “We’ve averaged 14 hours per month over the last quarter. I’d like to move us to a 15-hour retainer at $1,275/month starting in June” is a straightforward ask when you have the numbers.

Updating Your Template Over Time
