Sending a proposal and waiting in the dark is one of the most preventable frustrations in freelancing. The technology to know when clients view your work has existed for years. Reddit is where freelancers talk about how they actually use it.

Knowing when a client views your proposal changes the entire follow-up dynamic. Instead of guessing when to reach out — too soon feels pushy, too late feels like you forgot — you have a signal. A real, actionable signal.

  • The follow-up timing window is short — reaching out within a few hours of an open is far more effective than reaching out days later
  • The most effective follow-up message after a view is short and non-intrusive — a question, an offer to clarify, or a note about availability
  • Multiple opens in a short window are treated as a buying signal worth acting on quickly

One commonly cited scenario from these threads: a proposal is sent on a Monday, no response by Wednesday. The freelancer sends a follow-up. On Friday, they see the proposal was opened again — turns out the client was reviewing it with a partner. That second-open notification prompted a same-day message that moved to a signed contract by end of day.

The tools that make this possible

Standard email and PDF attachments don’t provide view tracking. You need one of the following:

Google Analytics or UTM parameters on PDF links: A more technical approach, but possible if you’re hosting PDFs on your own site. Not practical for most freelancers.

The most reliable and lowest-friction solution is a proposal tool with built-in tracking. The read notification is automatic — you don’t have to set anything up on a per-proposal basis.

The follow-up window after a proposal view is short. A message sent within two hours of an open is reaching the client while the proposal is actively in their mind. A message sent two days later is much less likely to connect with that same moment of engagement.

How to follow up after a view (without being weird about it)

Don’t say: “I saw you opened my proposal just now.”

That will, in fact, feel intrusive.

Do say something that creates a natural reason to reach out at that moment:

  • “I wanted to check in quickly in case any questions came up while you were reviewing.”
  • “I have a slot opening up next week that I’d love to hold for you if you’re moving forward — just wanted to flag the timing.”
  • “Happy to walk through the proposal on a quick call if that’s easier than reading it. Does [day] work?”

Each of these is a reasonable follow-up at any point after sending — the read notification just tells you exactly when to send it.

What to do when the proposal is opened multiple times

Multiple opens are worth interpreting:

One open, long view duration: They read it. This is your moment to follow up.

Multiple opens across multiple days: They’re likely reviewing it with someone else or comparing options. Follow up with a message that acknowledges consideration time: “I know you may be evaluating a few options — happy to answer any questions that might help with the decision.”

Open followed immediately by no response for a week: They read it and something didn’t connect. Follow up with a question: “Is there a specific part of the scope or pricing I can clarify?”

No opens at all: The proposal may have gone to spam, been missed, or the client is traveling. Your follow-up after three to four days should check whether they received it, not whether they liked it.
