How to build this in Microsoft Word
Step 1: Set up the page Margins: 1 inch on all sides (Layout → Margins → Normal). Page size: Letter (8.5 × 11). Portrait orientation.
Step 2: Add your header Type your business name in bold, 14pt. Add contact details in regular weight, 10–11pt. Leave a blank line between your info and “INVOICE.”
Step 3: Create the invoice details table Insert → Table → 2 columns, 4 rows. Type the field labels in the left column (Invoice Number, Invoice Date, etc.) and the values in the right. Remove borders from this table (Table Design → Borders → No Border) for a cleaner look.
Step 4: Create the line items table Insert → Table → 4 columns (Description, Qty, Rate, Amount). Set the Description column to about 55% of the page width. Bold the header row. Add borders to this table (Table Design → All Borders).
Step 5: Add totals Below the line items table, type Subtotal, Tax, and Total Due with amounts right-aligned or in a matching table column.
Step 6: Payment details Regular text below the totals. Keep it concise.
Step 7: Save and export Save the Word file. Export as PDF: File → Save As → change format to PDF. This is the version you send. Keep the Word file for future edits.
Always export to PDF before sending. Sending a Word file risks the client seeing placeholder text you forgot to replace, inconsistent formatting on their system, or an editable document they might inadvertently change. The PDF is the professional deliverable; the Word file is your working template.
Numbering your invoices correctly
Sequential invoice numbering prevents gaps in your billing records and is required for accurate bookkeeping. Start from 001 or use a year-prefixed format: 2026-001, 2026-002, etc.
Never reuse a number. If you made an error on an invoice and need to correct it:
- Issue a credit memo or corrected invoice with a new number
- Note the original invoice number in the new document (e.g., “Replaces Invoice #2026-041”)
- Keep both records
